MY PPISMP 3.08



Hi dear,

For this week, we are supposed to cover on writing a report of an event. Here are some points to ponder while writing your report:


- Use formal and inpersonal language.

- Be objective and factual. Avoid writing personal feelings and overly descripted language.

- Be clear and organise the information.


As other form of writing, your article should also be divided into Introduction/ Body/ Conclusion. In an event report you should write according to these paragraphs.


Introduction: Briefly describe the event and the background for the event. Include date, place, time, any VIPs, the audiences, the theme or any other points that you think should be included.

Body: Where you decribe the events step by step. You can move to new paragraph when there's changes of time, place or in chronological form.

Conclusion: To the end, you are supposed to sum up what you have written in the main part. Then, you can include your opinion or evaluation of the event and what you actually learned.

So for your weekly assignment, I want you to write an event report about the 55th Independence Day Celebration that you were involved in. Please report on the event NOT about your role in the event. You can do this in pairs. Please send to me via email by 19th September 2012. Sorry to miss your class.. really miss all of you.

1.0 Opening Speech
Chairman greeted and welcomed all committee members for coming since this is the first meeting for this semester. He reminded the members that this committee plays a big role in implementing healthy lifestyle by making the sports and recreational activities as the students’ daily routines.
Chairman urged the committee to come out with more sport and recreational activities as options to the students. 
Chairman mentioned that this year, joint-venture with Kementerian Belia dan Sukan (KBS), the committee are granted RM10, 000 to conduct a Grand Volleyball Tournament.


2.0 Approval of Previous Minutes

3.0 Matters Arised
3.1 No 4.2 Annual Sports Day
Puan Kamsiah Rani reported on the Annual Sports Day that was held on 27 May 2012.

4.0 New Business – Volleyball Tournament
4.1 The committee agreed to have the tournament on 16 September 2012.
4.2 The committee agreed to have the tournament at German-Malaysia Institute’s Stadium. The rental and availability will be confirmed by the Treasurer.

4.3 Volleyball Tournament Committee
The committee will be set up by the Chairman and KBS. Appointment letter will be distributed once the names have been finalised.

4.4 Budget
The treasurer has to deal with KBS’s  officer in preparing the budget.

5.0 Other matters
5.1 Mr Subasangaram asked about the parking lots for the staff since currently the vehicles are park along the entrance

5.2 Cik Lily Harlina Mustafa suggested to have new duty roaster for the gymnasium since En Ken Boon Heong and Puan Latifah Ahmad had transferred. New duty roaster will be prepared and distributed by end of the month.

5.3 En Hassan Che Ling mentioned that the students still did not wear proper attire while having activities on the stadium’s field. The committee agree to remind the students during the assembly about the mandatory of wearing proper attire during sports and recreational activities that held at the stadium.

My Darlings PPISMP 3.08

Here is the diary entry.. From this diary entry, please come out with a minute of meeting based on the format that we have discussed:


Dear diary,
Today I went for a stupid meeting of the Sports and Recreational Committee at the library right after my lunch. To be exact around 2p.m. Mr Zulkafli Jumaat chaired the meeting. I was looking for Hayati but then I heard the she is not coming since she has another meeting on the Administrative Block. Looking at all the familiar faces, it seems that others were present. And the best part is that I was appointed to take the minutes of this stupid meeting.. huhuhu!!!!

Mr Zul started the meeting, greeting us and welcoming us since this is the first meeting for this semester. He said that this committee plays a big role in implementing healthy lifestyle by making the sports and recreational activities as the students’ daily routines. We should come out with more sport and recreational activities as options to the students.  He also mentioned that this year, joint-venture with Kementerian Belia dan Sukan, we are granted RM10,000 to conduct a Grand Volleyball Tournament.

Then Mr Zul go through the previous minutes of meeting and was proposed by Zulaikha and seconded by Ramzi. The issues brought up are regarding the report on Annual Sports Day which was held on 27 May and was reported by Kamsiah.

Then all of us discussed about the volleyball tournament. We agree to have it on 16 Sept in counjuction of Malaysia Day. Ramzi suggested to have the tournament at German-Malaysia Institute’s Stadium and Mr Guna was appointed to book the stadium. Then the committee of the volleyball tournament was selected consist of few bureaus. Mmmm... i have to type the names later on (it was on the attachment that was distributed to us).

After a long agony of 2 hours, the agenda comes towards the end. Mr Suba brought up the issue of parking lots for the staff. Cik Lily proposed for changes in the gymnasium’s duty roaster. En Hassan brought up the issue of students not wearing proper attire while having activities on the stadium’s field.

Fuh.... such a tiring meeting. Finally Mr Zul announced to end the meeting. It was half past four. I have to rush to fetch you, my dear sister Suraya from her piano class.... Such a tiring day... Mmmm, when shall I start my report for this meeting?.....

Three groups presented today about the formats of Minutes of Meeting.. Congratulations to all of you for delivering awesome presentations. Yes there are flaws here and there but it was a process of learning... Cant wait for the other two groups to present next week.. Writing Effective Meeting Minutes


Writing minutes of meeting is not the most glamorous job in this universe, but it doesn’t mean you can just scribble down anything you like. Also, assuming that writing minutes is the job only for Secretary is not entirely correct.
A versatile executive would have no qualm in taking the responsibility to write the minutes of a meeting, either in place of an absent Secretary or just be part of the company’s culture to assign any of the meeting participants jotting down the minutes. As much as you hate meeting just like I do, getting yourself familiar with the minute writing is not the worst thing to do.
Here are some tips in writing effective meeting minutes.

1. Know the purpose
Before writing minutes, you must know the purpose of it. First, a report of meeting minutes is a record. But it is just not the type of record you write, print out, file and then forever forget. It provides a historical account of official business and operational decisions, and involvement of people making the decisions. It is used as a reference which is periodically, or frequently referred to. Sometimes, minutes  of meeting can become a legal document and evidence in court. So, don’t play play.

2. Keep it concise
Keep the key information in order and make sure you don’t miss critical info. You only have certain limited time and it will be impossible to write every single thing discussed during a meeting. So, keep it concise, i.e. compact and short. Take notes of the issues discussed, major points raised and decisions taken. Make sure what you write will be easily understood, and usable in the future. Keep in mind, many of the meetings require the attendees looking back at the previous meeting’s minutes. So if people can’t read them, they’ll go for your head instead.

3. Get right info, follow right format
To keep it short, here are list information that should be in your minutes of meeting:
  • Time, date and venue of meeting
  • List of attendance (and their position)
  • Agenda of meeting – key agenda, details, and specific action plan, and owner/executor of the plan
  • Name of person taking minutes (you!)
Normally, after minutes are hand-written, they are transferred into a proper computerized document (e.g. Microsoft Word or Excel), properly restructured, save and printed out. Good and fast typists can immediately record conversation into the computer/laptop, where this requires less time for fine tuning later on. The minutes are then distributed among the attendees of the meeting, or those who will be responsible to take actions as per discussed during the meeting

As we have discussed last week, our writing lessons for this semester is to help you acquire the skills of writing in Report writing;  Minutes of a meeting, Survey report and Event report. In order for you to get better picture about Minutes of a meeting, here are your first task :
1. Find a sample of a minutes of meetings on the web
2. Try to figure out the format of a minutes of meeting
We will discuss on week 3. 

HI GUYS

Being a lecturer is not an easy job. I have to attend classes for lectures, train my scouts, doing researches, attending meetings, writing modules, chaperoning students, giving talks and thousands more task.. Ending up, I do miss some of my classes for lectures...
In helping me out, I prepared this blog as a medium for me to interact with my students as well as delivering notes for my lectures (especially the one that I missed). This blog is created for my PI 1311P4 students (PPISMP 1.01 June 2012 intakes) as well as my PI 3311 P4 students (PPISMP 3.08 June 2011 intakes) for all of you have a place to have a healthy discussion. What is writing?

Writing is a method of representing language in visual or tactile form. Writing systems use sets of symbols to represent the sounds of speech, and may also have symbols for such things as punctuation and numerals.


Why Writing is Important?


Writing is something that each person can do, not that everyone will consider themselves a writer, but it does mean that they can write. Writing is important for the past and the future. It is something that writers want to showcase. It is important not only for making money, but for the joy that you will get when writing something that you, as a writer finds important to you.



It goes beyond being important and shows that you have a passion for something you love, and that you can potentially make you living writing, which means that you will at some point make money on what you do. Making money can in fact make you more passionate, but you will have to prove that your writing, is really yours. Your Writing is important to you.
